Job Summary:

As a Technical Assistant you would be responsible to:

  • Receive, log, scan, copy, file and distribute design submittals, Requests for Information (RFIs), submittals, and change orders.

  • Track/follow-up on correspondence associated with design review comments, prepare construction bidding packages, assisting in closing out projects, RFI’s and submittals, including expediting responses tied to critical path schedule activities.

  • Attend, participate in, and occasionally, facilitate project meetings with Architectural/Engineering (A/E) firms/construction contractors.

  • Record, log, and distribute meeting minutes and memos for numerous facility projects that are in different phases.

  • Maintain single point of legal contractual files, including electronic files for planning through design, construction, inspection/acceptance, closeout, and archives.

  • Assist Project Managers (PM), Construction Managers (CM), Delegated Representatives (DRs), and Construction Inspectors with documentation of lessons learned and input into the database.

  • Provide client point of contact for contractors on submittals, RFIs, action items, schedules, change orders and invoices.

  • Work with the Infrastructure Services business office to process purchase order, work order, and service order requests.

  • Assist PM/CM and the DR with processing quotes and change orders from A/E firms and construction contractors for new and existing purchase orders.

  • Assist the PM/CM/DR with monthly invoice processing from the construction contractors, A/Es, and various vendors.

  • Maintain project documentation process, project folder structures, meta-groups, and the overall document management system.

Security Clearance Required:

Ability to obtain and retain DOE L

Minimum Qualifications (Required):

  • High School diploma plus three (3) or more years of administrative experience in construction or business; or equivalent combination of education and relevant experience.

  • Experience with Microsoft Office (Excel, Word, Outlook).

  • Ability to obtain and maintain an active DOE L-level security clearance.

Preferred Qualifications (Desired):

  • Associates Degree in Business Administration or Construction Management.

  • Estimating or Construction Management Experience.

  • Experience putting together construction bid packages, proposals, and addendum.

  • Knowledge of construction-related terminology and processes.

  • Experience with or knowledge of Project Control concepts (earned value management, scheduling, costing, scope management, etc.).

  • Experience with Newforma, Maximo, or TRIRIGA.
