In this role you will be a critical partner to key leaders in executing the day-to-day business activities both within the organization and with external partners. In this role you'll have the opportunity to think quickly on your feet and proactively manage and prioritize work in an ever-changing business environment. If you strive to provide exceptional support and enjoy problem solving, thinking outside the box, and are excited by change this is the role for you!Essential Duties:Strategically manages interactions and prioritizes people and situations in need of attention. Understands the Truterra business and organizational priorities to proactively, route, research, respond to requests / correspondences and make scheduling decisionsCoordinates preparation of meeting briefings for key meetings including agenda, meeting materials, key talking points, and research as requestedCreates meeting agendas, proactively works with attendees to ensure content and presenters are preparedCoordinates and prepares drafts of routine and complex presentations for both internal and external audiences; prepares draft letters and memos; proofreads correspondences and presentationsArranges complex domestic and international travel coordinating pre-departure through arrival detailsEnsures proper documentation and timely submission of all expenses and invoices using ConcurCollaborates and partners across other administrative coordinators to aid and provide backup support as neededCoordinates events ranging from small to complex in person, virtual, and hybrid events, understands meeting technology and has the technical savvy to support eventsManages small projects, processes, and workflows across multiple parties; can bring the pieces back together to create a finished productEnsures contract execution, adds contract to SharePoint site for maintenance, coordinates with finance and accounting for their awareness (for revenue recognition)Sets up new customers in Toscana by working with credit and master data; coordinates credit application with the customer; prepares customer data updates in the system; communicates with sales and customer serviceCreates sales order and contract tracking, ensure the contract is renewed on timeSets up and pays vendors by requesting W9 from vendor, sets up vendor in ToscanaRequests payments through a check request or through Ariba to include grower payments, carbon certifications, and sales ordersRemains agile and willing to be pulled into projects outside the immediate job description, where administrative participation is of importance to the Truterra teamMeet business deadlines which may require occasional working after business hours and/or weekendsKnowledge, Skills and Abilities:Professional verbal and written communication; understands nuance and adapts communication style based on audience and situationPossess composure under pressure and demonstrates good decision-making skillsDetail oriented and driven to deliver work with the highest degree of accuracyProactively identifies problems and works to resolve them before they escalateAbility to multi-task with many interruptions while remaining efficient, prompt, and professional; flexibility in changing work priorities at a moment's noticeStrong planning, organizational, time and project management skills to prioritize and coordinate workflow across multiple projectsAdvanced proficiency in Microsoft Suite of products (Outlook, Word, PowerPoint, Teams, etc.)Ability to maintain confidentialityExperience/Education requiredHigh school diploma or GED10 or more years of experience supporting administrative needs of senior-level executives and their teamsAbout Land O'Lakes, Inc.Join us and be part of a Fortune 250, farmer- and member-owned cooperative that is reimagining the business of food.
