Bristol County Agricultural High School Business Office Admin. Assistant in Dighton, Massachusetts

Reports to:Business Manager in her or his absence the Administrative Assistant to the Superintendent General Information:To assist in the operation of the business office Duties and Responsibilities:Transportation Update routes in Versatrans with any changes after initial routes are finalized Coordinate the Change of Address forms for Transportation Manage Out of County transportation Communicate information to all impacted parties; families, in county and out of county sending districts and transportation vendors. Coordinate the Change of Address forms for Transportation, update changes in Versatrans and communicate all changes with the transportation company. Manage Out of County transportation including communication with various bus companies and school districts and families. Maintain accuracy and compliance with policies and procedures Orders supplies for Business office and Facilities as needed Assist in maintaining files for Business office Assists the Business Office staff with accounts payable and receivable. Reconciliation of student activities accounts. Manage deposits, track and monitor spending, and ensure overall funds balance month over month. Processes all campus deposits and promptly communicates deposit information to relevant parties. Customer service agent for the campus in the areas pertaining to the Business office Assists the Facilities and Technology departments in the areas of purchasing, contracts and correspond with vendors for billing Create and process purchase orders in accordance with organizational policies. Coordinate with vendors to ensure timely and accurate delivery of goods and services Maintain organized records of purchase orders and related documentation. Serve as the first point of contact for the Central Office receptionist area. Greet, assist, and direct staff, students, and/or visitors as needed. Effectively respond to all incoming calls and route them appropriately. Sort and distribute incoming Business Office correspondence and mail to appropriate personnel. Responsible for Credit application and new Vendor paperwork Maintaining the school vendor list Any and all other duties assigned by the Business Manager ADDITIONAL QUALIFICATIONS: Minimum two years of clerical experience, preferably within a school setting. Knowledge of accounting/bookkeeping procedures Familiarity with all standard office equipment. Strong working knowledge of computers and software systems, including modern operating systems, word processing, spreadsheet and database software. Capable of learning computer programs such as, but not limited to Powerschool, MUNIS and Versatrans. Experience in Transportation bus routing systems preferable. Strong keyboarding and organizational skills. Ability to work well with others in a courteous, professional manner Detail oriented work Ability to maintain confidentiality and personal/professional boundaries. ETC.....
