Position Summary

This position provides a wide range of support for internal and external events scheduled at the Learning and Assessment Center (LAC).  Interprets information as relative to role and apprises respective staff as deemed necessary.  Is self-directed and requires minimal supervision in order to interpret information and coordinate with others. Exemplary attention to detail is critical. Continuously communicates with center staff, healthcare professional faculty, students, external customers, and clients in order to facilitate operations of the LAC.

Characteristic Duties and Responsibilities:

  • Initiates and submits hiring documents for temp/on-call employees including verification (I-9, etc.).
  • Processes large volumes of payroll for temp/on-call employees and reconciles any errors.
  • Coordinates operational needs of the department such as coordinating calendar event scheduling, temp/on-call scheduling, inventory, ordering, processing of IPF requests, etc. Supports accounting functions related to revenue-generating events in the department including initiation of fund transfers, invoicing, documentation of expenditures tracking of receivables and monitoring of collection schedule.
  • Initiates and processes travel documents for director, LAC staff and temp/on-call employees in accordance with university travel guidelines.
  • Prepares and/or assists in developing and compiling analytical reports which are used by department director, finance officers and steering committee members for decision-making. These include resource usage, learners contact hours and college event costs.
  • Receives, collects and processes complex and diverse information and independently renders decisions in order to contribute to information bases or request specific actions or to provide information for administrators, faculty, staff and external agencies.
  • Interacts with broad population(s) of university personnel, faculty, students, customers, external agencies and public, verifies information, accurate records are maintained and makes informed decisions to ensure programs are facilitated according to procedure/guidelines.
  • Schedules appointments and maintains unit administrator (Director) calendar; maintains files and records applicable to the office, including travel for all LAC staff. 
  • Facilitates, prepares and distributes agenda materials and records minutes for regular and special meetings for unit administrator (Director); facilitates online registrations, coordinates logistics for events, inventories and prepares necessary materials.
  • Completes a wide range of computer tasks including correspondence, reports, etc.; types, edits and proofreads correspondence, letters, marketing/fliers, and other materials. 
  • Coordinates and prepares meeting rooms and audio-visual and other technology related needs. 
  • Attends meetings with and on behalf of administrator (Director) in order to acquire and disseminate information. 
  • Process and reconciles bookkeeping records for multiple programs held in the center in order to assist with budget planning and payroll. Develops various financial reports and graphs for departmental meetings.
Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in maintaining account ledgers, departmental operations, employment, or in performing tasks related to the area of employment; experience in word processing, editing and composing correspondence, and maintaining spreadsheets and/or databases; or an equivalent combination of education and experience.
