Robert Half Document Controller in Goleta, California

Description

We are seeking a detail-oriented and organized Document Controller to join our organization in Goleta. In this role, you will be responsible for the accuracy, organization, and control of all company documents.

Responsibilities:

  • Review documents for accuracy and compliance with established standards. Make necessary edits to non-conforming documents.

  • Develop and maintain document control procedures and standardized document formats.

  • Oversee company procedure updates and revisions. Release new and revised documents to the Master Control database system.

  • Manage user access and workflows within the Master Control system for new projects.

  • Create placeholders for supplier documents within SOLIDWORKS PDM for purchase orders.

  • Manage the flow of document packages between suppliers and internal stakeholders. Update supplier document registers and internal tracking databases.

  • Generate vendor document status reports from SOLIDWORKS PDM.

  • Maintain a list of employee initials used for document approvals and redlines.

  • Set up project folders for work orders on the K Drive.

  • Update the Customer Document Log with new specifications received.

  • Process and track documentation requiring professional translation.

  • Process purchase requisitions as requested by internal customers.

  • Maintain a central repository for industry specifications, standards, and regulations within the elibrary.

  • Participate in internal and external ISO audits related to document control and information management.

  • Continuously strive to improve operational efficiency, reduce turnaround times, and streamline work processes. Collaborate effectively with internal and external customers to provide exceptional service.

    Requirements

Document Control, PMO - Project Management Office, Computer Databases

  • Minimum 3 years of experience in document control or a related field.

  • Proven experience with document management systems (DMS) and document control procedures.

  • Strong understanding of industry standards and regulations (relevant to your industry).

  • Excellent organizational, time management, and communication skills.

  • Ability to work independently and as part of a team.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Working knowledge of SOLIDWORKS PDM (a plus).
