Description

Position Overview:

We are currently seeking a full-time Bookkeeper who will also take on the responsibilities of an Office Manager. The ideal candidate will have experience in accounts receivable collections, accounts payable, ADP payroll (including onboarding), account reconciliation, and general office management duties. This role is integral to our accounting department and requires someone versatile enough to handle a variety of tasks in a fast-paced environment.

Responsibilities:

Bookkeeping:

  • Manage accounts receivable collections, including occasional soft collections calls if necessary

  • Perform backup for accounts payable processes

  • Handle ADP payroll, including employee onboarding

  • Perform account reconciliations

  • Conduct some billing tasks using QuickBooks

  • Assist in setting up new customer accounts and conducting credit checks

-Preparation of waivers and lien intents

  • Utilize Sage 300 software for accounting tasks

  • Proficient in Excel for data analysis and reporting

Office Management:

  • Serve as the point person for customer inquiries and communications

  • Reconcile company credit card and fuel card transactions

  • Coordinate and schedule meetings, as well as order lunch when necessary

  • Handle routine office tasks such as mail distribution and trips to the post office

  • Ensure office supplies are adequately stocked and manage office equipment maintenance

  • Assist with human resources tasks such as employee onboarding and maintaining personnel records

  • Coordinate office events and manage office space organization

Qualifications:

  • Previous experience in bookkeeping, accounts receivable collections, accounts payable, and payroll administration

  • Experience in the construction industry is a plus

  • Proficiency in QuickBooks, Sage 300, ADP payroll, and Excel preferred

  • Strong organizational and multitasking skills

  • Excellent communication and interpersonal skills

  • Ability to work independently and as part of a team

  • Attention to detail and accuracy

  • Flexibility to adapt to changing priorities and responsibilities
