Senior Executive Assistant

KBR is seeking an Executive Assistant to join our Team! This position serves as the Principal Executive Assistant for the Deputy Program Executive Officer (DPEO) for Tactical Aircraft Programs (PEO (T)) at the Naval Air Systems Command (NAVAIRSYSCOM) at Patuxent River, MD.

PEO(T) provides full life cycle support of naval aviation aircraft, weapons and systems operated by Sailors and Marines. PEO(T) is comprised of a senior staff and 12 program offices. Executing the PEO mission requires close interface with the Joint Chiefs of Staff; Office of the Secretary of Defense (OSD); OPNAV; Unified Combatant Commands; Fleet and Numbered Fleet Commanders; Type Commanders; System Commanders; Commander, Operational Test & Evaluation Forces; Service Acquisition Executives; Headquarters Requirements Staff and the various agencies which provide products necessary for the support of assigned programs.

Role and Responsibilities:

  • Serve as the principal executive assistant for the Deputy Program Executive Officer (DPEO) for Tactical Aircraft Programs (PEO (T)).

  • Responsible for assisting and coordinating a variety of administrative activities directly supporting the Deputy Program Executive Officer (DPEO) and providing support for the Program Executive Officer (PEO), as needed.

  • Receives visitors, determining whether the business at hand needs to be handled by the PEO or DPEO personally, as appropriate, or whether it should more properly be addressed by the incumbent or referred to one of the PMA offices within the PEO. Frequent visitors include both military and civilian NAVAIR Flag and SES-level personnel, top ranking military officers (both U.S. and foreign) and aircraft industry leadership representatives.

  • Receives telephone calls, determines which calls must be directed to PEO, DPEO or Chief of Staff (COS), which calls can be taken care of personally, and which can be referred elsewhere. Calls which will require background or additional information are tactfully addressed until the required information is obtained and presented to the appropriate person.

  • Acts as liaison between the PEO, DPEO and APEO's in conveying and interpreting their instructions, policies and desires.

  • Maintains office calendar, schedules appointments and conferences, without prior clearance, and ensures the PEO, DPEOs, and COS when appropriate, are fully briefed on matters to be considered before scheduled meeting.

  • Establishes priorities and changes schedules or cancels appointments as necessity arises.

  • Must at all times be aware of the PEO and DPEO schedules since they may be required to address developing situations on extremely short notice.

  • Determines and arranges for subordinate representation when appropriate.

  • Compile and maintains pertinent summary and reference information in the use of PEO/DPEO/COS, as appropriate, in making decisions.

  • Maintains confidential, personal, and other files for the PEO, establish or revise files to meet current needs and demands for materials.

  • Makes all necessary arrangements for travel, i.e., reservations, plans itinerary, schedules visits and makes appointments and prepares travel vouchers utilizing DTS, updating BASICS II information.

Functional Description:

  • Provides administrative or secretarial support to a department and/or Manager.

  • Responsibilities may be unique to a specific function or department such as Procurement or Engineering, but mainly administrative in nature and works within a specialized function to complete broadly defined tasks which require advanced problem solving and recognition skills.

  • Supports general business operations by providing guidance for administrative support activities.

  • May provide guidance to less experienced team members.

  • Provides high-level administrative support by handling information requests and performing clerical functions such as preparing and tracking correspondence, receiving visitors, arranging conference calls, calendar management and scheduling meetings. Coordinating read-ahead briefings.

​Basic Qualifications:

Education:

  • A BS or BA Degree in a Business-related field is required.

OR

  • An associate degree plus two (2) years additional work experience performing duties described in the functional description may be substituted for a Bachelor’s degree.

OR

  • Four (4) years of additional work experience performing duties described in the functional description may be substituted for a bachelor’s degree.

Required Experience:

  • 10 years of combined experience performing duties described in the functional description.

  • 1 year of experience using DTS, JPAS and BASICS II.

  • Must be able to assess, apply, and recommend improvements to established business processes; and can balance priorities to work effectively in the fast-paced program office environment.

  • Must be highly proficient Microsoft Office (Word; Excel; PowerPoint; Project & Outlook).

  • Must be a self-starter and be able to capture actions items and meeting minutes.

  • Requires ability to perform numerical, statistical, and/or financial analysis.

  • Must use initiative and judgment arranging job details to achieve predetermined objectives.

  • An active secret level security clearance is required.
