Primary Function

Serve as a vital and key support member on a creative production and event team that is a liaison between an internal Production Department, internal clients and various external production partners and freelancers. Support management team and Producers by assisting in preparing intake, schedules, resources, and administrative business functions of productions underway in multiple locations, in various stages.

Duties & Responsibilities

  • Work closely with department personnel in all aspects of logistical, operational and production coordination

  • Build productive working relationships with key technical partners, internal clients, and freelance roster

  • Coordinate staff and client schedules, project timelines, and pre-production meetings, including setting up and owning internal meetings and agendas

  • Manage flow of Statements of Work, purchase orders and vendor invoices

  • Schedule and hire crew, book equipment, including pre-planned and pop-up productions and events. May include coordinating travel and location permits.

  • Support crew communications, send crew call sheets and shoot instructions

  • Monitor project schedules, milestones, deliverables, to ensure projects are running on schedule and within budget

  • Make project-specific travel arrangements according to published T&E policy

  • Assist with the maintenance and organization of digital media assets and equipment inventory

  • Manage incoming invoices, equipment rentals, credit card receipts, expenses, and other production documents for reconciliation

  • Create timely and accurate invoicing, tracking, and reporting

  • Offer creative solutions and operational efficiencies where applicable

  • Work in the most proactive, creative, and professional manner to provide the highest level of service to clients

  • Conduct client specific asset administration including taxonomy, data entry for final assets

  • Assist with studio and location shoots, local travel as needed (

Skills & Qualifications

  • A positive and proactive attitude and a willingness to jump in and help

  • Well-organized and capable of handling multiple assignments

  • Excellent verbal and written communication skills

  • Outstanding prioritization and organizational skills

  • Proficiency in Microsoft Office, particularly Excel. Must be able to create and format spreadsheets, apply functions & formulas, merge & sort data; Familiarity with Adobe Creative Suite and similar production tools

  • Proficient with media and production terminology

  • Performs well under and stays calm under pressure, while maintaining attention to detail and an appropriate sense of urgency

  • Ability to interface effectively with a variety of people including team personnel, clients, and vendors to establish productive, ongoing relationships

  • Strong results orientation to deliver seamless and timely services to customers

  • May require after-hours and weekend work

Education & Experience

  • Degree in Video/Film Production, Communications, Marketing, or related field is required

  • 3+ years office administration, communications, or exec assistant experience preferred

  • Experience as a production assistant on-set in the video, film, or advertising industry is preferred
