Responsibilities

General Purpose:

The General Purpose of the Supervisor, Materials Supply Operations is to oversee and supervise daily operations of all departments under the Materials Management banner, as assigned by the Director of Operations. The Supervisor supports department managers as needed with activities related to individual needs, facilitating, and ensuring completion of daily routine tasks as well as completing special individual and team-based projects on both isolated and recurring basis. Under the Director, the Supervisor will provide support for both onsite and offsite locations as needed.

Specific Responsibilities:

  • Under supervision and guidance from the Materials Management Director of operations - oversee and supervise daily operations of any and all departments under the Materials Management banner. Supports department managers as needed (as assigned by the Director of Operations) with activities related to individual department needs. Ensures that all Materials Management areas, service centers, overstock areas, clean supply rooms, clinical equipment, and employee attire are compliant with Joint Commission standards and requirements. Joint Commission inspection is annual and standards are to be maintained at all times.

  • Performs rounds and checks for all assigned department areas. Perform any and all duties that would be performed by department supervisors, including (but not limited to): checking for expired patient care items and patient care supply levels; checking clinical equipment par levels; removing affected specific lot number items per FDA or manufacturer recall; placing regular daily supply orders using ASC and other software; using Stanley Healthcare Asset Management to monitor, collect, and transport clinical equipment due for maintenance, manufacturer recall, and reassignment; assisting in the sorting, staging, and delivery of received items to internal customer locations; sorting down cart returned items in Materials Processing Department/Perioperative Services; communicating with Nursing units re: supplies and equipment; monitoring Shipping and Receiving dock activities and deliveries. Monitors supply, linen, and equipment requests on Order Form. Briefs department managers and Director on completed and ongoing activities. Provide updates to supervisor for all ongoing projects and monitored inventory.

  • Supervise Materials Management staff, in accordance with hospital and departmental policy for union and non-union personnel alike. Interview/screen prospective candidates and make hiring recommendations for all departments under Materials Management. Assists with training and coaching new-hire Materials Management Supervisors. Serve as a resource for new Supervisors during their shift. In the absence of specific department supervisors and managers, acts in their stead to ensure department operations are completed in a satisfactory and timely manner. Resolve invoice discrepancies as assigned by supervisor and Accounts Payable.

  • Performs FDA and vendor recall product checks as needed for all items supplied by Materials Management. Performs/assists with special projects as assigned, such as patient care item conversions, organizing of clean supply rooms, and assembling supply room racks and shelving. Coordinates with outside departments such as Clinical Engineering, Facilities, and Environmental Services as needed. Prepares equipment level, delivery time, and back-order reports using ASC ERP, Online Order Form, etc. and presents findings to supervisor. Makes recommendations to both Director of Operations and managers for long term practice creation and implementation. Will complete/close assigned RL Solutions related to defective items provided and stocked by onsite Materials Management departments. Will work with Value Analysis and Quality Assurance as needed to keep the scope of related RL solutions updated and accurate for the department.

  • Under the direction of the Director of Operations, assists with carrying out the semi-annual physical product inventory for the OR as required by SMH Finance to meet cost accounting and regulatory requirements (may travel to local offsite locations to assist with carrying out their physical inventory as well). Will stage and shrink wrap product on pallets in preparation for returns to vendors, transfers to other locations. Will transport, sort, and stage department supplies between various storage locations onsite as needed. Will generate patient care back-order supply reports as needed by the Director. May need to work on a flexible schedule - evenings, overnights, and weekends as needed.

Requirements:

Required:

  • Bachelor’s Degree

  • Four years supply chain experience, two years management experience or equivalent combination of education and experience

  • Computer proficiency to include Microsoft Office software applications.

  • ASC and Stanley Healthcare Asset Management experience is desired.

  • Experience with performance measurement, analytics, and finance and process improvement.

  • Excellent oral and written communication skills.

  • Hospital and Supply Chain experience is preferred.

  • Holiday and weekend shifts may be required based on the needs of the department.
