Description

A company in The Woodlands is looking for an Experienced Executive Assistant for a contract to hire opportunity. This will be an in-office role and will require a minimum of 5 years’ experience supporting C-level at a large organization as well as working with a board of directors. Responsibilities:

The Executive Administrative Assistant’s responsibilities include, but are not limited to:

  • Maintain schedule/calendar and email for Executive team member

  • Prepare a variety of analytical reports and dashboards for the team and support agencies.

  • Compose and distribute letters, memoranda, and other correspondence.

  • Provide customer service, both in-person and by telephone; screen and direct telephone calls; take and relay messages.

  • Manage all invoices and month-end budgeting process.

  • Process expense reports for entire team through the online portal.

  • Assist with miscellaneous departmental processes and projects.

  • Secure appropriate approvals for variety of documents and ensure timely processing of documents.

  • Compose and distribute letters, memoranda, and other correspondence.

  • The strictest confidentiality is maintained in all areas, discussing any issue only with the appropriate individual with prior approval.

  • Arrange travel for executive management and department.

  • Provides secondary support to the reception desk (to include greeting guests, distributing mail, arranging company travel, and other duties as needed).

  • Other assignments, as dictated by business needs.

  • Print and compile daily and monthly reports

  • Prepare quarterly presentations using PowerPoint and Excel.

  • Converting PDF files to Word or Excel.

    Requirements

Qualifications:

  • 5+ years’ experience in an administrative capacity, supporting executive level management. Experience working with a board of directors.

  • Associate or Bachelor degree preferred.

  • Must be ok to be in office Monday- Friday, 8-5pm or 7:30am-4:30pm.

  • Demonstrated ability to multi-task and manage multiple projects simultaneously.

  • Exhibit strong organizational skills and be detail-oriented.

  • Possess excellent communication skills and be customer-service oriented.

  • Exhibit strong computer skills with demonstrated experience in Microsoft Office products with a focus in Word, Excel, and PowerPoint.

  • Ability to maintain confidentiality

  • Some Audit experience is a plus

  • Adobe and VISO experience a plus
